The success of the Scott Lee Foundation’s “A HEART FOR COMMUNITY SERVICE” Gala depends on the dedicated support of our volunteers from the community. Please review the information below about available committees to join and/or serve in leadership positions to coordinate.

COMMITTEE DESCRIPTIONS
Sponsors & VIP Reception – CHAIR OPEN
Committee will be responsible for soliciting and securing funds to underwrite specific expenses of the gala and to fill tables. This committee will generate most of our funds. Much of our success depends on working local contacts by developing new relationships. Other responsibilities include sending thank you notes to donors, obtaining names of gala attendees from donors and table sponsors to hand off to the registration committee, and obtaining logos from donors for printed materials as needed. This committee will also be responsible for the VIP reception for our sponsors and ticket winners the night of the gala.
In Kind Gifts – Silent Auction, Live Auction, Raffle – CHAIR, TERESA ERROS
Committee will be responsible for soliciting and securing donations for items from all types of companies to be used in our silent auctions and raffle the night of the gala. Responsibilities will include grouping items into packages, displaying the items, preparing auction item descriptions and bidding sheets, manning the auction at the gala (including auction check-out at end of the night), and sending thank you notes to donors.
Public Relations & Media – CHAIR, ANGIE JOHNSON
This committee will coordinate public awareness of the gala in all sectors of the community. This committee will handle press releases, PSA’s, and gala announcements to all applicable media outlets, utilizing social networks as well as on our official website. This committee will also coordinate with the printing and advertising committee to establish print media outlets and the most effective advertising for the various media.
Ticket Sales, Registration, and Seating – CHAIR OPEN
The committee will be responsible for keeping up with sales to the gala and getting all registration materials together before the event. This committee will also organize the ball room seating chart. It will also be responsible for reconfirming seating totals for all sponsors and special guests to determine how many tickets/seats sponsors will receive and adding them to the list of attendees. This committee will coordinate with the hosts and hostesses on the night of event to ensure that all persons and organizations are checked in and seated properly.
Decorations & Audio-Visual – CHAIR OPEN
Committee will be responsible for incorporating the theme of the gala throughout the venue. Committee duties will include securing table centerpieces, flowers, linens, chair covers and other decorative items that will be needed, preferably through donations. It will also be responsible for all lighting that will aid in incorporating the gala theme in all areas. Committee will also secure all audio-visual equipment needed for the event including needs for cocktail area, silent auction area, stage, entertainment, emcee, etc. Committee also responsible for securing a photographer and videographer to chronicle the event. [This has been done.]
Hosts and Hostesses and Staffing – CHAIR OPEN
This committee will be responsible for maintain a roster of all volunteers and along with the committees to which they may be assigned. This committee will also responsible for assigning hosts and hostesses the evening of the gala to specific groups or organizations (i.e., VIP reception guests, honorees, special guests, etc) as well as seating the gala attendees.
Printing & Advertising – CHAIR, FELICIA KINSCY
This committee will be responsible for all print advertising and all printing needs for the event including invitations, tickets, sponsorship packets, thank you notes/cards, event signage, table menus, and more. This committee is also responsible for creating event registration materials, auctions signage, entertainment signage and cocktail reception. They will also co ordinate with the Public Relations committee to provide any materials that they may need for their committee.
Honorees – Chair, PORTIA SCOTT
This committee will be responsible for identifying, selecting and contacting Honorees for the gala as well as honorary chairpersons, gala emcee, entertainment, etc. This committee with also be responsible for aforementioned persons during the gala regarding processional, seating, etc.
